Standard Arrival & Departure Times

Standard Arrival Time: 4pm EST

As your arrival day approaches, you will receive a text from us (from number 854-203-3815).  This is a texting number for texting purposes only.  Texting us at this number is our preferred, and most efficient, method for reaching us during your stay. We will text you from this number if the home is ready before your scheduled check-in time.

Special Notice: Typically we have a very short window between guests to professional clean & inspect homes as well as address any discovered maintenance items; therefore your understanding & grace is appreciated. Although check-in time is 4pm EST, there are rare occasions when additional time is needed.

Departure Time:  10am EST

You will receive an email from us the day before your departure with instructions and a short checklist of items to complete before heading home.

Gate Pass Details

Your complimentary gate pass, along with any additional gate passes purchased in advance, will be available for pick up at 22 New Orleans Road (near the main gate of Sea Pines).  Click the following link for a google map of the location: 22 New Orleans Road Google Map
The pass(es) will be placed in a gray dropbox located on the front of the building, to the left of the double glass doors. The dropbox has individual boxes labeled with our rental property names. Locate the box for the property you rented using the name labels and then use the code provided in the arrival email to open the box.   Your pass(es) will be inside.  Please watch the video below for step by step instructions.

Additional gate passes can be purchased at either gate directly from the guard.  Guards accept cash payments only.  Make sure to ask for a weekly rental pass and have $22 cash on hand.

Keyless Entry System

All homes are equipped with keyless entry systems, therefore you will use a 4 digit code to access the home in place of a key.  This code is specific to your reservation and will activate the day of your arrival, at normal arrival time, and deactivate on your departure date, at normal departure time.  Physical keys are not provided or needed.

To unlock the door, you will press the 4 digit code provided plus the bottom left button on the keypad, which will be either a star or checkmark depending on the lock model.

To lock the door using the keypad, press any button

Once inside, lock the door by turning the deadbolt knob.

Special Notice: some homes have atrium style doors which require pulling up on the lever handle to deadbolt. If the home you have rented has this style door, a video tutorial with locking instructions can be located on the Property Guide Tablet inside the home.

Vacation Guide & Portal

Vacation Portal– At this point you have probably visited your Online Reservation Portal (to make a payment or see island recommendations). This portal contains valuable information about your reservation, the island and Sea Pines community. If you have not yet visited the portal, we strongly suggest doing so before travels begin. Information provided will assist with vacation planning, packing and possibly avoiding unexpected issues with community rules & restrictions. If you have not yet visited the site, here’s the web address:

Access Code: in previous correspondence, you have received an access code which is needed to enter the site.  Please email us if you need us to resend your code.

Vacation Guide– A tablet will be located inside the home and available for use during your stay to access property details & video tutorials as well as island information. The video tutorials are property specific and a great resource for items such as TV remote operation, locking atrium doors, turning spas on/off and beach access.

Items Provided

We are thrilled to announce beginning January 2022 we are taking an environmentally friendly focus with the amenities we provide.  Therefore we have eliminated the use of plastic wherever possible. Please find below a list of the amenities provided with your reservation:

Bathrooms: 1 bar of hand soap, 2 rolls of toilet paper per bathroom
Kitchen: Liquid dish soap, 1 roll of paper towels, 2-4 dishwasher pods (placed in recycled glass jar), starter supply of trash bags, kitchen towel, hot pads
Bedrooms: Bed linens, white bath towel bundles (each bundle has 2 body towel and 1 hand cloth ~ king & queen beds will each have 2 bundles, twin beds will have 1 bundle), 1 beach towel per towel bundle (royal blue color)

Laundry Room: Starter supply of laundry pods (placed in recycled glass jar)

If the home is equipped with a sleeper sofa and you intend to use it during your stay, please notify us prior to your arrival day so we may confirm a sleeper sofa linen pack is provided.

Safety Precautions

Although the home you have rented is located in a gated, resort community with 24/7 security patrol and guards at both gates, crimes can/will still occur.   Please keep vehicle doors locked and do not leave valuables within sight or inside, particularly during the overnight hours.  Additionally, please lock all home doors and windows when no one is home.  “Crimes of opportunity” do happen within Sea Pines so everyone must do their part to eliminate/reduce the risk.

Property Services

Trash Service – Please visit the Property Guide Tablet located inside the home for specific trash days.  Trash & recycling are collected from the trash service yard; cans should not be moved/relocated to the street.  Trash and recycling must be bagged otherwise it will not be taken.  Trash service is for household trash and recycling only…please do not leave broken tents, beach or pool items for trash collection as these items will not be taken.

Pool Cleaning – Pools are professionally cleaned, which includes vacuuming and balancing chemicals, twice a week during the summer months and once a week all other months.  Please visit the Property Guide Tablet located inside the home to see specific cleaning days for the home you have rented.

Pest Control – All homes receive ongoing, professional pest control treatments.  We are in located in a tropical area; therefore bugs are a part of life on the island and can not be fully eradicated.

Pool & Spa Heat

There is an additional charge to heat the pool & spa.  This additional amenity is available during non-summer months.  If you wish to heat the pool and/or spa during your stay, we ask for 2 weeks notice prior to your arrival date to allow time for making payment, confirming our pool/spa heat terms & conditions and coordinating the heater activation.

For homes with spas: If spa heat has been purchased, please watch the instructional video located on the Property Guide Tablet inside the home for turning the spa on/off.  The spa water will be the same temperature as the pool water until the spa is turned on using the spaside remote.  It is important the spa is turned off when it is not being used; otherwise, the pool water will not circulate or heat, assuming pool heat has been purchased.

Vehicle & Community Restrictions

Sea Pines community does not permit the operation of motorcycles/motorized scooters, except for approved handicapped conveyances, within the community. (for approval, call Security directly at 843-671-7170)  Sea Pines does not permit the use of electric bikes within the community.
No oversized transport vehicles or vans, or commercially marked vehicles are permitted in residential areas, including driveways, overnight.  The following are not permitted within Sea Pines: electric bikes (unless protected by ADA), campers/rv, trailers of any type or boats. For more details on restricted vehicles, please visit https://www.seapinesliving.com/visitors/on-island-rules-policies/

The Town of Hilton Head Island has a noise and beachfront light ordinance.  A violation of the noise ordinance would occur if anything causes the disruption or peace & quite after 10pm through the nighttime hours.  Additionally, from May to October, all exterior and interior light at the house which can be seen from the beach must be turned off between 10PM – 6am.

Sea Pines does not permit parking on the street or in landscaped areas, bikes or toys to be left unused and in a disordered appearance on the property or items such as beach towels & bathing suits to be hung outside and within view from the street or neighbors.

Sea Pines is a upscale, private gated community with many homes being occupied by full time residents.  They do have strict rules with the intent to keep the community enjoyable for all.  Sea Pines does monitor the community and will enforce their rules as needed (with fines applicable for violations).

The Beach Club

The Beach Club within Sea Pines offers public restrooms, an oceanfront restaurant & bar, along with a small market and retail shop.  Our guests are permitted to use the Beach Club facility.

Parking at the Beach Club is extremely limited (50 spots total for all rental guests / non-owners). Sea Pines Resort, a separate entity from Sea Pines Community, owns the Beach Club, many other commercial establishments in the community, along with being a property management company.  Sea Pines Resort monitors the parking lot during daylight hours between Memorial Day and Labor Day.  They do not allow drop-off of people or beach items at the entrance or in the parking area if the 50 spots are taken.  Sea Pines Community offers a complimentary beach shuttle (trolley) during the summer months. See next section for additional information regarding the beach shuttle service.

We also recommend biking to the beach club, just make sure to bring your bike lock.

Beach Shuttle Services & Community Trolley

Sea Pines community offers a complimentary beach shuttle service between mid-march and Labor Day, 7 days a week from 9am – 5pm.  Parking for the Beach Shuttle is located on Greenwood Drive near the Fraser traffic circle.  The shuttle runs directly from the parking lot to the Sea Pines Beach Club.  This shuttle is an enjoyable way to access the beach club and particularly popular for homes farther from the beach.  For more information, visit https://www.seapinesliving.com/property-owners/community-resources/beach-shuttle-service/

Sea Pines also offers a complimentary trolley service which runs between the beach club, The Shops at Sea Pines, Harbour Town Marina and South Beach Marina (with a few other stops along the way).  To visit the live map for this trolley, visit: https://www.seapinestrolley.com/

Contacting Us During Your Stay

If you have any issues or concerns during your stay, please reach out to us. For emergencies, the preferred method of reaching us is by text at 854-203-3815. Although we are on call for emergencies 24/7, we do ask for your kindness in reporting non-emergency issues during normal business hours. Our normal business hours are Monday – Saturday, 10am – 5pm & Sunday 12pm – 4pm. Your comfort and enjoyment is our top priority, so we will anything in our power to address all concerns promptly.

If a maintenance issue is reported, we will dispatch “Wambo”. Our Property Medic will be able to access the home if you are out enjoying the island and therefore no one is home when we arrive.

Special COVID-19 Notices

The safety and comfort of our guests is our top priority; therefore, we are taking additional measures to prepare properties in light of COVID-19.  Please CLICK HERE to redirect to the Exceeding Standard page on our website for details on the additional steps we are taking. Additional cleaning practices and bedding set-up are explained on this page

*please note, beds will not have decorative pillows or bedspreads

Due to the additional time needed to prepare properties for arrivals, it is unlikely we will be able to accommodate early check-ins.  Please plan on a 4pm arrival time (door codes will not work until 4pm)

Local Ordinance:
As of May 16, 2021, the Town of Hilton Head Island will no longer have an ordinance requiring face coverings when in commercial establishments.  Establishments have the ability to set their own requirements for patrons & staff in regards to COVID-19 prevention.  The Town of Hilton Head Island encourages visitors and locals to adhere to the latest guidance from the CDC:  https://www.cdc.gov/coronavirus/2019-ncov/vaccines/fully-vaccinated.html

As of August 16, 2021, the Town of Hilton Head requires face masks inside all town government buildings such as Town Hall ad the Fire & Rescue headquarters.
